What this policy covers

Pocket Tutor (pockettutor.com.au) is an Australian platform that helps families and schools find music educators, and helps educators run their studios. This policy explains what personal information we collect, how we use it, and the choices you have. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Information we collect

Account details — your name, email address, and account role. Passwords are handled by our authentication provider and are never stored in plain text.

Educator profile information — the details you choose to publish, such as instruments, lesson rates, locations and service areas, schools, qualifications, experience, bio, and photos.

Verification details — educators provide Working With Children Check details (including full legal name, check number, and expiry) so we can review them before a profile goes live. Only your verification status is shown publicly, never the underlying details.

Family and student details — contact details for parents and guardians, student names, and lesson information such as schedules, requests, notes, and lesson terms.

Payment information — payments are processed by Stripe. We do not store full card numbers; we keep records of lesson charges, fees, and payouts.

Technical information — essential cookies and local storage used to keep you logged in and remember your preferences. We do not use advertising trackers.

How we use your information

We use personal information to operate the directory and match families with educators, to review educator profiles and WWCC details before they are listed, to facilitate lesson requests, scheduling, and payments, to send service emails such as lesson updates and payment receipts, to improve the platform, and to meet our legal obligations.

Children's information

Student information is provided and managed by a parent or guardian (or by an adult student managing their own lessons). We do not knowingly collect personal information directly from children, and student details are used only to deliver and administer lessons.

When we share information

We share personal information only where it is needed to run the platform: with service providers that support hosting, authentication, payment processing, and email delivery; between educators and families as part of arranging lessons (for example, your public profile and lesson terms); and where the law requires it.

We never sell personal information.

Storage and security

Your data is encrypted in transit and stored with reputable cloud providers. Some of our service providers may store or process data outside Australia; where they do, we take reasonable steps to ensure it is handled consistently with Australian privacy law.

Retention

We keep personal information while your account is active and for as long as we need it to meet legal, tax, and dispute-resolution obligations. You can ask us to delete your account and associated personal information at any time.

Access and correction

You can view and update most of your information directly in your account. To request a copy of the personal information we hold about you, or to correct something you cannot change yourself, contact us using the details below.

Complaints

If you have a concern about how we have handled your personal information, contact us first and we will do our best to resolve it. You can also complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

If we change this policy, we will post the updated version on this page with a new effective date.
